Frequently asked questions

What happens to the data collected by Komodo?

Komodo acts as the Data Processor, while your school is the Data Controller.

This means the school owns and controls all data collected through the Komodo platform. The school decides what information is gathered, why it is collected, and how it is used. Komodo processes this data only on the school’s behalf and strictly follows the school’s instructions, as outlined in our Data Processing Addendum.

Komodo’s role is to keep all data secure and confidential, and to use it solely for the purpose of providing the Komodo wellbeing platform and related services. Komodo assists the school with any data access, correction, or deletion requests and does not share personal data with third parties, except for approved subprocessors who meet the same strict data protection standards.

Do I have to be an existing Komodo customer to use this?

No. The Komodo Wellbeing Counselling Management System is intentionally built to operate independently from our core Wellbeing Management System. However, if your school already partners with Komodo, you’ll benefit from a seamless experience with integrated student records, Komodo student profile insights, and clear, trackable referral pathways.

I am a guidance/admissions counsellor, can I use this system?

We appreciate your interest. However, the Komodo Counselling Management System has been purpose-built with wellbeing counsellors, therapists and psychologists in mind. As such, the features of this platform are not designed to be used in guidance/admissions/careers counselling or other similar environments. 

Does this system work for both teams and individual counsellors?

This Counsellor Management System is designed to work seamlessly for both individual counsellors and counselling teams. Counsellors can confidently manage cases end-to-end, while still sharing the right level of information across the team. The platform balances visibility between referrals and active cases, so teams stay aligned and safeguarding standards are maintained, without adding complexity for individuals who need to work independently.

How does this tool integrate with the Komodo student/staff wellbeing systems?

At this stage, the main connection between this Counsellor Management System and the core Komodo platform is the referral form. Staff and Admins on the student wellbeing side of Komodo will have access to a referral button, enabling them to write and submit a referral for a student that goes directly to the counsellor or counselling team.
